By booking (paying a deposit or full balance) you confirm you have read, understood, and agree to these Terms & Conditions, the Privacy Policy, and any trip-specific Joining Instructions provided after booking.
Definitions
Arteva / We / Us / Organizer: Arteva Ltd and its employees/agents.
Facilitators / Instructors: Independent contractors engaged by Arteva to lead workshops.
Participant / Guest / You: The individual who books and attends.
Retreat / Workshop / Activity: The artist-led travel and tuition program described on our website or product page.
Eligibility & Conduct
Age: 18+ only. Minors are not permitted unless Arteva gives prior written consent; in such cases a parent/legal guardian must accompany and accept full responsibility at all times.
Code of Conduct: Be respectful to peers, staff, local communities, and property. Follow safety instructions from Arteva, facilitators, guides, and drivers. Be punctual. No harassment, discrimination, vandalism, or disruptive behaviour.
Alcohol & Drugs: Illegal drugs are strictly prohibited. Alcohol consumption must be responsible and never during hazardous activities. Arteva may dismiss (without refund) any participant whose behaviour endangers safety, harms property, or materially disrupts the group.
Health, Fitness & Accessibility
You confirm you are fit to participate, can manage reasonable stairs/uneven terrain common in heritage sites and rural settings, and will bring any needed mobility aids.
Disclose relevant medical conditions, allergies, and dietary needs in writing at booking (or as soon as known). We’ll pass dietary requests to vendors and confirm what’s possible. We will take care of vegetarian, gluten free options.
We highly recommend getting your own comprehensive travel insurance covering (at a minimum) trip cancellation/interruption, medical & dental emergencies, hospitalisation, emergency evacuation & repatriation, baggage delay/loss, supplier default, personal liability.
Visas, Passports & Vaccinations
You are solely responsible for holding valid travel documents (passport, visa, permits, vaccinations). Failure to obtain them does not entitle you to a refund. We will help with the process wherever possible.
Accommodation & Property Rules
Respect partner properties’ rules (including no smoking indoors and quiet-hours).
Return rooms in their original condition; you are liable for damage, extra-cleaning, or missing items chargeable by the property. Any such sums may be collected by Arteva on behalf of the vendor or directly payable to the venue.
Pricing, Currency & Fees
Prices are stated on the workshop page/checkout. Currency: GBP. Your bank/processor handles any conversions/fees.
We reserve the right to correct obvious pricing errors.
Booking, Deposits & Balance
Deposit to secure your place: 35% of the trip price (non-refundable except partially refundable where we cancel under our cancellation policy).
Balance due: 90 days before the trip starts. Bookings made within 90 days require full payment.
Failure to pay on time may result in cancellation and application of the cancellation terms below.
Your Cancellation / Changes
If you cancel for any reason, the following charges apply (to cover committed supplier and instructor costs):
>120 days before start: Loss of deposit only.
120–90 days: 50% of trip price (or loss of all paid amounts up to 50%).
89–31 days: 75% of trip price.
≤30 days: 100% (no refund).
No refunds for missed days, late arrival, early departure, or unused services.
Name transfers: You may request a transfer of your booking to a suitable replacement. Approval is at Arteva’s discretion and may require that the replacement has compatible interests/experience and accepts all T&Cs. Admin fee may apply plus any supplier charges.
Insurance – Highly Recommended
You must purchase comprehensive travel insurance that explicitly covers: trip cancellation & interruption (including illness/injury; instructor/organizer incapacity; common carriers; and specified force majeure events), medical/dental emergencies, emergency evacuation/repatriation, baggage loss/delay, supplier default, and personal liability.
Arteva is not responsible for chargebacks or uninsured losses. We will provide reasonable supporting documentation for your insurer upon request.
Our Cancellation / Material Changes
Organizer Cancellation
We may cancel if safety, operational, legal, or supplier reasons prevent delivery, or if events beyond our reasonable control occur (see below Force Majeure).
Your remedy: A full refund of monies paid to Arteva for the trip price only (minus bank fees and 8% admin charge) (no reimbursement for incidental costs like flights, visas, equipment, or insurance). This is your sole remedy.
Instructor Unavailability
If a facilitator becomes unavailable due to illness/injury or other legitimate reason, we may:
Substitute with an artist of comparable calibre, or
Continue with modified programming and provide a pro-rated refund of the instructor fee component if the level of tuition materially reduces.
Force Majeure
Force Majeure: We are not liable for delay, alteration, or cancellation caused by events beyond our control (including but not limited to natural disasters, extreme weather, epidemics/pandemics and related governmental measures, war, civil unrest, labour disputes, significant supplier failure, or utility outages). Where performance is prevented or impaired by Force Majeure, refunds may not be possible; we will act fairly and in good faith to mitigate impacts (e.g., postponement/credit where suppliers permit).
Assumption of Risk & Safety
You accept the inherent risks of travel in heritage/rural settings: uneven surfaces, stairs, wildlife presence, variable hygiene standards, heat/sun exposure, traffic conditions, and differing safety norms. You voluntarily assume these risks and agree to follow guidance from Arteva/facilitators/guides at all times. We keep safety and hospitality as our top priority.
Third-Party Suppliers
We contract reputable hotels, transport providers, guides, and venues; however, their services are subject to their own terms. Arteva is not responsible for acts/omissions of third-party suppliers beyond our control. Any claims for loss or damage resulting from a supplier’s act/omission should be directed to that supplier; we will reasonably assist in such cases.
Damages, Loss & Personal Property
Arteva is not responsible for loss, theft, or damage to your belongings. You are liable for any damage you cause to property, vehicles, or equipment, and you authorize Arteva to charge your card (or invoice you) for such costs.
Photography, Filming & Media Release (with Opt-Out)
Workshops may be photographed/filmed for educational and promotional purposes. By attending, you grant Arteva a worldwide, royalty-free, perpetual licence to use such media in any format.
Opt-out: If you prefer not to be photographed/filmed or to have your image used, email us no later than 7 days after trip registration with subject “Media Opt-Out – [Your Name]”. We will make reasonable efforts to honour your request (e.g., seat placement, exclusion from group shots). Please also remind the trip lead on Day 1.
Intellectual Property (Teaching Content)
All teaching materials, demos, worksheets, recordings, and written guides remain the intellectual property of Arteva and/or the instructor. They may not be reproduced, distributed, or used commercially without prior written consent.
Data Protection & Privacy
We collect and process personal data to manage your booking, deliver services, and comply with law. We may share necessary data with suppliers (e.g., hotels, transport, insurers) strictly for trip delivery. We safeguard your data and never sell it. See our Privacy Policy for details and your rights.
Right to Refuse Service/Removal
We may decline a booking or remove a participant (without refund) for serious breach of these Terms, unsafe or illegal behaviour, harassment, or conduct that materially disrupts the trip. You are responsible for any additional costs arising from such removal.
Payments & Chargebacks
Payments are processed via our payment partners. You agree not to pursue chargebacks for amounts properly due under these Terms. Disputes should be raised with Arteva first; we will work to resolve them fairly.
Complaints
Raise any issue as soon as it arises with the facilitator or trip lead so we can remedy it in real time. If unresolved, email us within 7 days of the trip end with details and evidence. We’ll investigate and respond promptly.
Liability & Indemnity
To the maximum extent permitted by law, Arteva’s total liability to you for claims arising out of or in connection with the trip is limited to the amount you paid Arteva for that trip.
We do not exclude liability for death or personal injury caused by our negligence, fraud, or other liability that cannot be excluded by law.
You agree to indemnify Arteva, its officers, employees, and agents against claims, losses, damages, liabilities, costs, and expenses (including legal fees) arising from your breach of these Terms or negligent/intentional acts or omissions.
Transfers & Postponements (Organizer-Initiated)
If we must postpone (rather than cancel), we will offer:
transfer to the new dates, or
a travel credit valid for 18 months, or
a refund of monies paid to Arteva where suppliers permit recovery.
Incidental expenses (flights/visas/gear/insurance) are not recoverable from Arteva; insurance should cover these.
Communications & Notices
We’ll communicate via the email you provide. Notices are deemed received when sent. Please keep your contact details up to date.
Miscellaneous
Entire Agreement
These Terms + your booking confirmation + joining instructions constitute the entire agreement.
Severability
If any provision is invalid, the remainder remains effective.
No Waiver
Failure to enforce a provision is not a waiver.
Assignment
We may assign/novate our rights/obligations to a successor entity; you may not assign without our consent.
Governing Law & Jurisdiction
Laws of England & Wales; exclusive jurisdiction of the courts of England & Wales.
Updates
We may amend these Terms; the version in force at the time of your booking applies, unless a later version is more favourable to you.
Third-Party Links
This website may contain links to external platforms (e.g., Instagram, YouTube, Substack). Arteva is not responsible for the content, policies, or practices of any third-party websites.
Use of Website
You agree to use this site only for purposes that are lawful and in ways that do not infringe upon, restrict, or prevent the use and enjoyment of the site by others.
Email Signup
When you provide your email address or other personal details, you consent to receive updates, newsletters, and promotional material from Arteva. You may unsubscribe at any time by clicking the unsubscribe link included in our communications.
Your personal data will never be shared or sold without your clear consent.
Intellectual Property
Unless otherwise noted, all content on this site including text, photos, videos, and branding elements belongs to Arteva, public domain sources, or credited contributors. No part of this content may be reproduced, distributed, or altered without prior written consent.
